Overview
Use the Reputation settings to control how users earn trust, when they are promoted or demoted, and what borrowing limits apply to each level.
Most Reputation settings are configured at:
Settings > Customers > Reputation
The value fields used for checked-out value limits are configured separately at:
Settings > Loans & Reservations > Loans
in the Limit Total Value of Checked Out Items section.
Important
During the beta period, Reputation is not automatically recalculated for existing users, including when you change Reputation settings.
If you need existing user reputation recalculated, please contact support by submitting an issue.
Before you begin
Before configuring Reputation, decide what rules make sense for your organization. The example settings in this article are only examples. You can use different values based on your lending model, inventory, and risk tolerance.
Before configuring Reputation, decide:
- How many successful returns a user should need before becoming Trusted
- How often they should be able to earn positive events
- Whether positive or negative events should expire over time
- How many negative events should demote a Trusted user
- Whether borrowing limits should be based on Historical Cost, Replacement Cost, or Custom Value
Reputation settings
Go to:
Settings > Customers > Reputation
Earn Limit
Defines the maximum number of positive events a user can earn during the earn interval.
Example only:
- Earn Limit = 1
This means the user can earn only 1 positive event during each earn interval.
Earn Interval
Defines the period used to limit how quickly users can earn positive events.
Example only:
- Earn Interval = 7 days
This prevents users from gaining multiple reputation points from several quick loans in a short time.
Positive Expiration
Controls whether positive events expire after a period of time.
You can use this if you want users to maintain a recent history of successful returns, rather than counting old activity forever.
Negative Expiration
Controls whether negative events expire after a period of time.
Example only:
- negative events expire after 1 year
This allows Trusted users to recover over time if they avoid future issues.
Transition Rules
In the Transition Rules section, configure how users move between Member and Trusted.
Member Promotion Target
Defines how many positive events a Member must earn before becoming Trusted.
Example only:
- Member Promotion Target = 4
Trusted Demotion Limit
Defines how many negative events a Trusted user can accumulate before being demoted back to Member.
Example only:
- Trusted Demotion Limit = 4
Together, these settings create a ratchet-style system:
- before Trusted, any negative transaction resets the user to 0 positive events
- after Trusted, negative events do not immediately reset them
- instead, they stay Trusted until they reach the demotion limit you configure
Configure the value field used for limits
Go to:
Settings > Loans & Reservations > Loans
In the Limit Total Value of Checked Out Items section, choose which value fields the system can use.
You can:
- enable or disable Historical Cost
- enable or disable Replacement Cost
- enable or disable Custom Value
- drag and drop the enabled fields to set their order
This determines which values are used when applying the checked-out value limit.
Step by step: Configure one example Reputation model
The values below are sample settings only. Replace them with the values your organization wants to use.
Example goal
This example shows one common setup. Your organization can use different values depending on how quickly you want users to build trust, how strict you want the system to be, and how much access you want to give at each level.
In this example:
- users start as Members
- users become Trusted after 4 successful returns
- users can earn at most 1 positive event every 7 days
- any negative transaction before Trusted resets them to 0
- Trusted users are demoted after 4 negative events within 1 year
- limits are based on Custom Value
Steps
- Go to Settings > Customers > Reputation
- Set Earn Limit to 1
- Set Earn Interval to 7 days
- Set Member Promotion Target to 4
- Set Trusted Demotion Limit to 4
- Set Negative Expiration to 1 year
- Set Positive Expiration as desired, or leave it unexpired if you want positive events to remain indefinitely
- Go to Settings > Loans & Reservations > Loans
- In Limit Total Value of Checked Out Items, enable Custom Value
- Drag Custom Value into the position you want the system to use
- Save your changes
- Set Custom Value on the relevant items, if needed
- Configure Member and Trusted borrowing limits on the applicable membership types
Example configuration patterns
Use actual currency values
Use:
- Historical Cost
- Replacement Cost
This is useful when you want the limit to reflect actual item value.
Example only:
- Members can check out up to $100
- Trusted users can check out up to $1,000
Use a point-style system
Use:
- Custom Value
This is useful when only certain high-value or sensitive items should count toward the limit.
Example only:
- standard items have no Custom Value
- expensive items have Custom Value = 1
- Members have low or no access
- Trusted users can have up to 5 high-value items checked out at once
Rename Member and Trusted
If you want to use different terms than Member and Trusted, you can rename those labels using the translation tools at:
Settings > Organization > Language
This includes English-to-English changes.
