You can schedule maintenance on items so that you will be reminded when they need to be checked, cleaned, tuned up, a PAT done, or other regularly scheduled tasks.
Please note that we never automatically schedule scheduled maintenance, this is something you will need to do item by item. The reason we do not automatically schedule maintenance is that we do not know when the next scheduled maintenance should take place. Since you may have many (hundreds or thousands) of items, we do provide ways below to quickly schedule maintenance on dozens or hundreds of items quickly.
Scheduling Maintenance
If an item is not yet due for maintenance, or has not been scheduled yet, you can schedule the next time one or more maintenance plans should be triggered.
To schedule maintenance for an item:
- Search for that item on the item details page click "Maintenance"
- Click "Schedule"
- Select the Maintenance Plan for this item
- You can view the Details for the plan to make sure it is the one you want to schedule
- Add any notes about the maintenance for this item--they will be displayed when maintenance is started.
- Specify when this plan is Due for this item
- You can optionally specify who will be performing the maintenance (this will default to the Provider information specified in the plan)
- Click "Save"
Note that after you schedule maintenance, even if it is for today or the next few days, it may take up to 6 hours to transition from Scheduled to Due.
You can schedule multiple maintenance plans for the same item. For example "Calibration" and "Renew Warranty" could both be maintenance plans for the same item. You can also re-use the same maintenance plan for multiple items and types of items.
Bulk Scheduling Maintenance
You can also schedule maintenance on up to 100 items at a time quickly and easily by quickly scheduling all copies of a particular item, or all items of the same Item Type.
To do this:
- Search for that item on the item details page click "Maintenance"
- Click either "Schedule this Type" which for all items with the same Item Type (there is a limit of 100 items) or
- "Schedule all Copies" which will let you schedule all copies of this particular item
- Select the Plan you want to schedule
- Enter or select the date for each copy and click "schedule" after selecting the date (see above)
This will allow you to schedule dozens of copies within a few minutes.
