You can start maintenance from either the maintenance report, list of maintenance due, or from the maintenance page for a specific item. We recommend not recording that you are starting maintenance on an item until you are ready to take it out of service and do the maintenance as maintenance plans may block the item from being checked out to users or reserved.
1. When you are ready to performance maintenance on an item, or have already completed maintenance when it was not "Due" or "Required" click the appropriate button:
- Start: this allows you to start maintenance on the item, which specifies the item is now undergoing (or has been sent out for) maintenance
- Complete: record maintenance once the maintenance is completed. You can skip the "start" step and directly record maintenance was completed if the work is already done.
- You can even specify when maintenance was completed in the past.
This will bring up a workflow where you can update out:
- Maintenance Needed: if maintenance is required or due, this will be the plan to be performed. If you are doing maintenance ad-hoc, you will be able to select the plan.
- Notes: these will be prefilled with either the problem reported or the default notes for how to complete this type of maintenance.
- When updating, the History: lets you view any maintenance and notes already completed already
- Date Performed: defaults to "now" but can be updated to specify when the maintenance was done
- Status to Add/Remove: which statuses will be added or removed when you submit. You can override the statuses.
- Time Taken: you can record how much time you actually spent performing maintenance
- Cost: record the cost of any parts, external providers, etc. You will be able to add additional time and costs as part of "updates" or when completing maintenance.
- Provider: optional field to specify who performed the maintenance if it was a third party or someone else.
Once you have filled out the information, be sure to Save.
When maintenance is in progress, you can Update maintenance that has been started if you need to add notes, record time spent or costs. but have not yet completed the maintenance for that item.
When maintenance is done, you must Complete the maintenance on the item. This will give you the same options as starting or updating maintenance, but things like the statuses to be added or removed will be different. When you complete scheduled maintenance, the next maintenance will be scheduled automatically based on the date you specified the maintenance was completed.
